How Much Does Hat Embroidery Cost? What Actually Affects the Price

Embroidery is priced differently from printing, and the reasons are not obvious from the outside. If you are comparing quotes, these are the things actually moving the number.

Stitch count, not design size

Embroidery is priced by how many stitches the machine has to sew, not by how big the logo looks. A small, dense logo with solid fill can carry more stitches — and cost more — than a larger, simpler one. Fine detail, dense fills and small text can increase stitch count and production complexity.

Simplifying a dense logo can sometimes reduce cost more than simply shrinking it.

Digitizing, once per design

Before a logo can be stitched it has to be digitized: converted into stitch instructions with directions, densities and sequencing. That is $45, one time, per new embroidery design — not per garment and not per order. Reorders that reuse the same digitized design are not charged again, which is why a second run of the same hats is cheaper than the first.

Digitizing is separate from artwork. A free digital proof is included with every order. If the logo itself needs to be drawn or rebuilt, that is graphic design, billed at $65/hour.

Quantity

Embroidery starts at a 1-piece minimum, so there is no barrier to ordering a single hat. The per-piece cost usually falls as quantity rises because setup and handling are spread across more pieces.

The hat itself

The blank is a real part of the cost. A performance or fitted cap sits above a basic trucker. Structure matters too — structured front panels are generally easier to embroider cleanly than soft, unstructured caps, which may require more handling and setup.

Placement and number of locations

One front logo is the simplest setup. Adding side embroidery, back embroidery or any additional placement increases production time, because each location has to be positioned and sewn separately.

It is also the most common reason two quotes look different. If you are comparing, check that both cover the same number of embroidered locations.

Turnaround

Standard turnaround is 10 business days at no extra charge. Rush work is priced as a percentage on top of the order: 6–7 day adds 30%, 4–5 day adds 60%, and 3 day adds 100%. If your date is flexible, standard turnaround is the easiest saving available.
